Project Description
Port and its supporting facilities are one of the important elements in trading activities and human movement. Without KM implementation, of course, this industry will not be able to compete with the progress of the era. We help one of Indonesia’s integrated port management companies to implement Knowledge Management from scratch.
Knoco Indonesia helped the company to develop KM roadmaps, determine KM processes that are in line with the operational activities, building awareness and competency needed to run KM process, develop necessary KM guidelines and policy, design IT systems for KM, up to assisting them for implementing KM consistently.
Project Challenges
Scattered locations among Indonesia’s middle region;
Various employees professional background and work culture;
Well established business process that hampers embedding KM process into daily operations.
Our Approach
This client is a perfect example of how Knowledge Management should be implemented in the staging process approach. In the beginning, our scope of work only covers KM Assessment and developing KM Strategy and Framework. But the Assessment and Strategy result showed the Management their standing on KM compared to other industries and the potential benefits that might be delivered by KM initiatives. We quickly gain the trust and the commitment from the Human Capital Development Director, the first step of 8 Step of Successful KM Implementation.
The Director set up a cross-department team that will help us on the journey of implementing structured and practical KM initiatives. The Director himself also oversees the team, providing necessary resources, and closely monitor the progress.
The second phase of the project focuses on developing fundamental for KM initiatives such as develop KM framework and guidance, identify strategic knowledge, develop knowledge taxonomy, and KM system design. We also prove the value of KM by conducting pilot project for knowledge capture and embedding it into project management cycle.
During the pilot project phase, Knoco Indonesia worked closely with the project department to embed Knowledge Capture into their project management cycle. We develop practical guidelines, conduct process socialization to the team, equipped them with competency through Knowledge Capture Masterclass Workshop, and assist them to ensure the result meets the industry standard.
As for now, we still actively help the client to implement and embed more KM process such as Community of Practice and Lesson Learning.
The Result
The client already set up some best practice on embedding KM Process by setting up a policy for their contractor to conduct Knowledge Capture as a requirement for project completion. They also consistently develop various Community of Practice with specific expertise. They are now in the progress for expanding their KM System for supporting its KM activities such as Ask The Expert and Online CoP.
